Q4 is the highest-leverage window in optometry — and the practice was running a generic blast email.

Every VSP / EyeMed patient has a benefit year. Frame allowance ($150-250), exam coverage, contact allowance — all reset on a date the patient never remembers. The practice's existing 'Q4 reminder' was a single email to all patients in November with a generic 'use your benefits' line. Open rate was 18%. Conversion was under 2%. Most of the dormant benefit dollars walked out the door on December 31.

02 · The approach

Per-patient benefit math, named outreach, 60-day tiered urgency.

Day 1

Eyefinity export uploaded. Per-patient benefit data parsed: carrier, plan year, frame allowance remaining, exam covered yes/no, days to reset.

Day 2

Drift Radar segmented dormant patients (no exam in 14+ months) and surfaced 1,420 with $300+ unused. Voice Training extracted Dr. Patel's tone from 25 prior messages.

Days 5–15

First sequence fires to 'high benefit · high drift' tier (~420 patients): personal SMS naming specific dollar amount remaining + Dr's voice.

Days 16–35

Second tier (~600 patients) fires with 30-day-out urgency. Frame selection-event language added — 'new Maui Jim arrivals this week.'

Days 36–60
